#1: Choose the tasks

Choosing the right tasks to automate is absolutely crucial but before you are ready to take this step, you need to understand how automation works and how to choose the ones relevant to your business. 

Automation helps with tasks that are repetitive and time-consuming and that can handled without your input. 

Here are some examples: Automated quotes and proposals, sending invoices once tasks as completed, sending automatic responses for different lead sources, reaching out to existing customer, social media postings. If you are a blogger and are constantly adding new material, a toll to automate …

Once you know the processes in your business, it becomes easier to search for the right tool. 

#2: Develop a plan

Armed with a list of tasks that are relevant to automate in your business, it is time to develop the automation implementation process in phases. 

Take some time to analyze the performance and effectiveness and then start the next phase. 

#3: Choose the tool

Now it’s time to choose the tools you’re going to use to make your life easier. 

There are many options available and you have to select those which are best for your application. 

Here are some things to consider when making your selection:

  • Budget – There are some basic automation tools you can use, however in most cases you will need the paid version. 
  • Compare features – understand what each tool offers and if it is aligned with your needs. 
  • Consider level of expertise – Don’t pick the most complex tool if you are just starting. If it requires you to spend too much time learning how to apply it, you will get discouraged pretty quickly.

#4: Start small and build from there

The best way to adopt automation is to prove its value to your business. Start with one or two of the easiest tasks that will free the most time. 

Implement your first processes, track results and refine your workflows for better performance before start adding more automations. 

Starting small minimizes disruption and overwhelm, and enables you to slowly build from there.  It’s your decision which process to focus on first. Whatever your choose, just make sure that you commit to seeing it through. 

#5: Track results and refines processes

When your automation project has been completed it is important to work on maintenance and refine your processes. 

Spending money in an automation tool and time to set up a new workflows is only worth if it makes your business more profitable. 

Processes evolve and to make sure all the steps are being executed successfully, it must be tweaked and improved so it continue to bring you benefits.

For many business owners delegating brings a fear of losing authority, power and leadership.

For many it can be hard to trust in others and as a result they can become completely overloaded with tasks.

  • Save you valuable time and as we all know, ‘Time is money’! 
  • Have more time to expand your marketing efforts and reach a higher number of potential clients

Delegation is one of the most powerful tools for a successful business leader. 

3. Eliminate

Analyze your business practices and ask yourself if there’s anything that seems archaic, that isn’t worth the time, or is simply not relevant. 

The time saved by eliminating non-essential and redundant tasks can be used to grow your business or give you more time with your family. 

Think about the daily tasks in your business and ask yourself a few questions: Who is being directly affected by that task? What will be the consequences of eliminating that task? What would be the cost of eliminating it or delegating it? Are you the only one who can do it?

Set aside time every quarter or at least every year to investigate what would be the benefits of modifying or eliminating the task.

Being successful requires setting priorities and developing activities around these priorities. Time saved can be used to work on scaling your business or achieving that work-life balance we all strive for.
